Best Fit: Firms of all sizes that are looking for a solid, cost effective product that offers excellent document storage and management capability.

Product Strengths:

Basic System Functions 4.75 Stars

eFileCabinet is available in both on-premise and cloud deployment, and is also accessible via iOS and Android devices. Both versions of the product have been significantly enhanced, with a streamlined user interface for easier system navigation. eFile Cabinet was originally designed for accounting firms, but the product is now used in a variety of industries including banking, healthcare, law firms, property management, and a long list of other industries. The enhanced user interface allows users to access all product features from a single screen, with a vertical menu to the left of the screen that offers users access to all saved cabinets. These cabinets include Favorites, Recent Files, Recent Locations, Checked Out Files, and Pinned Locations.

Clicking on Home will bring up a variety of file options for users to choose from including Development, Human Resources, Partners, Resources, and Sales. All documents are stored in Cabinets, with each cabinet containing Drawers. All drawers contain folders, subfolders and files; a common sense structure that makes it easy for system users to locate and store documents.

The eFileCabinet printer allows users to save any documents to eFileCabinet using the printer function, where they can simply open a file, click on print, and choose the eFileCabinet printer.

Also new in 2016, SecureDrawer, eFileCabinet’s file sharing application, is built directly into both the online and on-premise version of the product. eFileCabinet also uses Zonal OCR, which recognizes and auto-populates data fields for the user, and will automatically file a document in eFileCabinet as well.

Advanced Management and Archiving Features 5 Stars

Sidekick, new from eFileCabinet, provides users with the ability to quickly drag and drop documents, quickly search documents, and eliminates pop-up menus, synchronizing with applications immediately.

eFileCabinet allows users to easily check in and check out documents, and a version control function ensures that a correct version of a document is accessed. The product also offers optical character recognition (OCR) functionality, making it easy to locate a requested file. Users can opt to create a template when saving a document to ensure document consistency. A retention period can be assigned to each document, ensuring complete compliance with industry standards.  

The Professional and Enterprise versions of eFileCabinet also contain additional features such as audit trail functionality, workflow capability, and role based security. File sync capability allows users to sync files between their computer and eFileCabinet, providing anytime access to the stored documents even without Internet connectivity. In addition, if changes are made to the synched documents, those changes will be automatically made once Internet access is available.

eFileCabinet also offers excellent document routing capability, with users able to automatically route documents to the necessary recipients; particularly useful to ensure timely document approvals.

Client Collaboration Tools 5 Stars

eFileCabinet’s Secure Drawer application is now built in to both the online and the on-premise version of eFileCabinet. Billed as a sharing service rather than a portal, users can safely and easily send confidential documents in-house to colleagues or to clients. Clients can also send documents directly to a firm, without needing an account in order to do so. SecureDrawer also allows users to securely email documents and attachments of any size directly to clients, and the product supports digital document signatures, so all documents can be shared, signed and returned in hours not days or weeks.

eFileCabinet offers excellent integration options, including full integration with Sage Software applications and QuickBooks products as well as Microsoft Office applications such as Work, Outlook and Excel, as well as other applications. The product also offers complete integration with SalesForce, with the ability to create drawers for each SalesForce contact, updating all files in both locations. In addition, all data from eFileCabinet can be exported to a CSV file if needed.    

Support/Help 4.75 Stars

eFileCabinet offers a good selection of support tools for new users, including their online support option, which contains a series of product support videos. There is also a solid collection of training manuals and related product articles, along with an FAQ area. A forum is available for users to access, and users can also access email and telephone support if desired. The company also offers various product training options as well.

Summary & Pricing

eFileCabinet is a solid document storage and management solution for small to mid-sized firms, and will work well in other industries as well. Along with the general subscription, eFileCabinet offers a variety of add-on tools including data conversion plans and additional data storage capability, along with OCR plans. For larger firms, an SQL version of the product is available.

Three levels of eFileCabinet are currently available including Performance, which runs $50.00 monthly and includes 250 GB of storage; Professional, which runs $65.00 monthly and includes 500 GB of storage; and Enterprise, with pricing available upon request.  

In addition to the subscription price, implementation fees are accessed for each user and are a one-time fee, with fees starting at $500.00.
